This Privacy Policy explains how CoverHome, operated by ZootPro, Inc. (“CoverHome,” “we,” “us”) collects, uses, discloses, and protects information when you use the CoverHome consumer app, Agent Console, Broker Portal, vendor portal, and coverhome.app (together, the “Services”).

CoverHome generally acts as controller/business for its own accounts, search, marketplace and marketing data. When CoverHome processes client or transaction information solely on documented instructions of a brokerage or enterprise customer, the applicable Data Processing Addendum or enterprise agreement controls that processing.

1. Scope

This Policy applies to consumers, real estate agents, brokers, brokerage staff, and vendors, Trusted Pros and other service-provider users (and their staff) who use the Services, including the vendor portal. It does not apply to third-party websites, apps or services that the Services link to or integrate with, each of which is governed by its own privacy policy.

2. Information We Collect

2.1 Information you provide directly

  • Account information: name, email, phone number, password (via our authentication provider), and, for professionals, license number, license jurisdiction, and brokerage affiliation.
  • Account activity: we record when you last signed in or used your account so we can support you and keep accounts secure. We store only the time, never your IP address, the pages you view, or your location.
  • Household information: optional household context (such as household composition and household needs), budget, location and proximity preferences, and feature preferences you enter during intake. We collect only what is reasonably necessary to organize your Household Fit and explanations and to provide the features you use, consistent with our internal data-minimization standard. Household composition is optional context and is not used to rank homes (see Section 3).
  • Search preferences: saved searches, favorites, and viewing-request details.
  • Communications: messages you send through the Services, support requests, and survey/feedback responses.
  • Professional/business information (agents, brokers): listing content and media you upload, brokerage and office affiliation, and licensing documentation submitted for verification.
  • Vendor and Trusted Pro information (vendors, service providers and their staff): business profile, credentials, license, insurance and other eligibility documents, subscription category, service area, referral-request response activity, and request-limit and billing data.

2.2 Information collected automatically

  • Device and usage data (IP address, browser type, pages viewed, actions taken, approximate location derived from IP).
  • Cookies and similar technologies — see our Cookie Policy.

2.3 Information from third parties

  • MLS and other authorized listing-data sources (property and listing data only — not personal information about you).
  • Identity/license-verification services used to confirm agent licensure.
  • Payment processor (Stripe) — we receive confirmation and limited billing metadata, not full payment card numbers.

3. How We Use Information

We use information to:

    • Operate personalized ordering using only the property and location preferences that you actively select and confirm. Household composition, age categories, pets, and other Household Fit context do not determine which eligible listings you can see and are not inputs to CoverHome’s property-ranking function. We may use Household Fit information to organize your account, saved activity and explanations, and — only when you request it — to support referrals for separate household services.
    • Provision and secure accounts, including role-based access (consumer, agent, broker, admin) and license/brokerage verification.
    • Enforce listing visibility rules so that only listings you are authorized to see are returned to you.
    • Route qualified matches to authorized agents and support the professional workflow (task marketplace, viewing requests).
    • Process subscriptions, Technology Success Fees, and other billing events. Technology Success Fees are flat platform-service fees billed to a participating brokerage account, never a percentage of commission.
    • Maintain the CoverHome Attribution Engine (CH-BUYER / CH-PROP / CH-CONVERSION records and their evidence chain) to measure whether properties discovered on CoverHome go on to transact. Attribution and Household Services Marketplace data are kept separate and neither is ever used by the property-matching engine.
    • Communicate with you about your account, saved searches, market launch availability, and Service updates.
    • Maintain security, detect fraud/abuse, and comply with legal obligations.
    • Improve the Services, including through aggregated or de-identified analysis.

We do not use, and will not build matching logic around, protected-class characteristics (such as race, color, religion, sex, familial status, national origin, or disability) or demographic/neighborhood proxies for those characteristics. CoverHome may use automated rules and scoring to organize eligible listings. Personalized order is based only on property and location preferences that you actively select and confirm. Household composition — including the number or ages of adults or children, older-adult status, pets, and similar household context — is not used to determine which eligible listings you may see and is not an input to the property-ranking function. CoverHome does not infer a property preference from household composition.

4. How We Share Information

We share information only as follows:

  • With agents and brokers, when you ask to connect with a real estate professional, invite an agent-collaborator, request a tour, or otherwise direct us to share information: we provide the information reasonably necessary for that action. We do not disclose your structured household composition to an agent or brokerage by default. When you request a tour, the agent sees the home, the time you chose and your request status, not your name, email or phone number; CoverHome connects any call (see Tour request details below). When you use Request details on a private listing, we share your name, email and message with that listing’s agent and brokerage so they can follow up with you (see Private listing inquiries below). Depending on the other actions you choose, we may share your contact information, selected homes, confirmed property/location preferences, messages, accommodation request, or other information you expressly choose to share.
  • With brokers, for oversight of their own affiliated agents and listings — license, affiliation, and listing-related data only; not structured household composition by default, and consumer information only as needed for an action the consumer requested.
  • With service providers who process data on our behalf under contract (hosting, authentication, payment processing, identity/license verification, analytics, customer support tooling), bound by confidentiality and data-processing obligations.
  • With MLS partners, limited to what is required for reconciliation and compliance with the applicable MLS agreement — we do not transmit consumer household data back to any MLS.
  • With participating vendors, Trusted Pros and other third-party providers, only when you submit a request to them (see Section 5B).
  • For legal reasons, if required by law, legal process, or to protect the rights, safety, or property of ZootPro, our users, or the public.
  • In a business transaction (merger, financing, acquisition), subject to continued protection of your information under a policy at least as protective as this one.
  • With your consent, for any other purpose we disclose to you at the time.

We do not sell your personal information for money. Some state privacy laws define “sale” or “sharing” more broadly than an exchange for money; where those laws apply, you can use the choices described in Section 8.

5. Listing Visibility and Household Data Protections

Household information is never exposed to other consumers, to unauthorized agents or brokerages, in public listing pages, or to search engines. Household information is protected by server-side role and authorization controls designed to prevent unauthorized access; we do not rely on the app’s interface alone to hide information.

5A. How We Use Household Details

We use the household details you enter to organize your preferences, saved homes and comments, and to explain why a home matches what you told us. We never use household details to hide an available listing or to raise or lower a price ceiling. Required filters you set, and our fair housing safeguards, continue to apply. Household details are never shown to sellers or listing sources.

Shared Household Fits

If you invite other adults to a Household Fit, they can see what your permission settings allow: owner, collaborator or view-only. If you invite a licensed agent as an agent-collaborator, that agent sees the shared homes, comments, dashboard and reports. CoverHome’s system fields do not expose structured household composition or your private notes to the agent-collaborator, but comments you write and share can contain information you choose to disclose. Each Household Fit’s data stays tied to that Household Fit. When you invite someone, you confirm they are at least 18 and that you have permission to share access.

Minors

CoverHome is for people 18 and older. Minors cannot create accounts or submit information directly. Information about minors or other household members must be provided only by an authorized adult user. See also Section 9.

5B. Referrals to Third-Party Services and Trusted Pros

Requests and information sharing. CoverHome shares a service request with participating third-party providers only when you submit that request. Information shared may include the service category you select, an optional note you provide, and contact details you authorize us to share for that request.

If you select optional accessibility or service-coverage tags, those selections may accompany your request. These tags can be sensitive. The request form will identify the information being shared before you submit it. Please include only information you want the receiving provider to see. We do not infer or add tags from age or household composition.

Providers do not receive your structured household composition. Your agent or brokerage is not notified of your request unless you choose to include them.

A Move Plan entry saved to your account is not, by itself, a request sent to a provider. The submission screen will indicate when an action sends information to a third party.

Fees and financial relationships. CoverHome receives compensation from participating professionals and providers. Household-service vendors may pay subscription fees, and Trusted Pros may pay annual listing fees. Participating providers are independent businesses, and you are never required to use any provider. A marketplace relationship never changes which homes you see, their order, or which real estate agent you choose. Vendor subscription plans may include monthly limits on the number of requests a provider can receive. CoverHome does not charge household-service vendors or Trusted Pros a separate per-request or per-lead fee. Paid Featured placement is labeled. Additional rules may apply to regulated providers and settlement services.

Agents and brokerages may pay subscription and seat fees for CoverHome’s professional tools. CoverHome also charges participating brokerages a flat Technology Success Fee for platform services, as defined in the brokerage’s agreement with CoverHome, which controls when the fee is earned and invoiced. It is not a percentage of commission. This gives CoverHome a financial interest in transactions involving participating brokerages.

The Technology Success Fee is billed to the brokerage. Any amount a brokerage proposes to charge you must be separately disclosed and agreed to under your agreement with that brokerage and applicable law.

Your choice of provider. You are free to choose any professional or provider, including one outside CoverHome. Providers operate independently and are responsible for their services, quotes, contracts, and charges. Participation, a point-in-time credential or eligibility review, or a “Trusted Pro” label is not an endorsement and does not guarantee a provider’s work, availability, licensing status, insurance coverage, or suitability for your needs.

Post-closing survey gift. CoverHome may offer a $15 gift for completing an eligible post-closing survey. Eligibility requirements will be disclosed with the offer. Participation is optional, and the gift does not depend on a positive rating or favorable feedback. If an incentivized response is published as a review or testimonial, the incentive will be disclosed.

5C. Security, Phone Verification and Email

You can sign up and sign in with your email address. After a real estate agent, broker or vendor account is approved, we may ask you to confirm your phone number with a verification code sent by text message through a messaging provider. We do not currently send marketing text messages. Waitlist and marketing emails are sent only if you opted in, and each includes an unsubscribe link. Service and account notices may still be sent as needed.

6. Data Retention

We retain personal information for as long as your account is active and as needed to provide the Services, comply with legal obligations, resolve disputes, and enforce agreements. You may request deletion as described in Section 8. Retention depends on the type of information: account, profile, saved search and Household Fit data are kept while your account is active; communications and support records as needed to respond and resolve disputes; license and professional verification records as needed for compliance; referral and request records as needed to operate the request and resolve disputes; billing and tax records for the periods the law requires; security and audit logs for fraud prevention and security; and suppression records (for example, an unsubscribe or deletion request) for as long as needed to honor your choice.

Demo requests. If you ask for a demo at coverhome.app/demo, we collect the work email address you enter and, if you give them, your name, company, role and state. We use them to email your private demo link and access code and to manage your request. We also record the advertising campaign tags in the page address (utm_source, utm_medium, utm_campaign, utm_content and utm_term) and the website you came from (the site name only), a one-way hash of your network address (not the address itself), your browser type, and whether and when you opened the link and which demo view you chose, so we can see which campaigns work. There is an optional box, not ticked for you, that lets us follow up with you about CoverHome; you can opt out at any time. If you tick it, we add your name, email address, company, role and state, with the role and campaign tags, to a separate list in our email service provider (Mailchimp) so we can write to you; every email has an unsubscribe link and an unsubscribe is honored at once. If you do not tick it, we do not use your details to market to you and they are not sent to our email service provider. We do not use third-party trackers or advertising pixels on the demo page. We keep a demo request for 12 months, or 24 months if you ticked the follow-up box, and then delete it. To have yours deleted sooner or to opt out, email hello@coverhome.app.

Tour request details and showing calls. When you request a tour, the showing agent, their brokerage and CoverHome’s administrators see the home, the time you asked for, the status and the label “Buyer”. They do not see your name, email or phone number. Buyer contact details remain within CoverHome and are available only to authorized users. CoverHome does not provide contact exports, bulk downloads, or transfers to external systems. You must agree, before you send a tour request, that CoverHome may call you at the number you enter to connect you with the showing agent. That agreement does not cover marketing. Text messages about the showing are a separate, optional checkbox that is not ticked for you and also does not cover marketing. We store each agreement with its version, the time you gave it and the exact wording you saw. At showing time the agent taps a button and CoverHome rings the agent first, then you, through a CoverHome phone number, so neither of you sees the other’s number. We do not record these calls. Our telephone provider keeps technical call records (call identifiers, times and durations). If you miss the call, you get a notification in the app, the agent can try once more, and, only if you agreed to texts, we text you a private link that works once and expires after two hours, so you can call back through CoverHome without seeing a number. If you ask an agent for a tour without a CoverHome account, we keep the name, email, phone number and agreement details you gave us for up to 30 days after you sent the request. If the tour was confirmed, we keep them until the tour is over and then for 30 days more. After that we delete them automatically. Requests made from a CoverHome account are part of your account and are removed when you delete it.

Buyer agreements and your agent. If you work with an agent, they may attach your signed buyer agreement to your request. The document is stored privately; only that agent, the agent’s brokerage reviewers and CoverHome’s administrators can open it, through a link that expires after 15 minutes. A broker checks the document, and we then ask you, in the app and by email, to confirm the relationship. Nothing is shared with the agent until you confirm, and a touring agreement never shares your contact details. Only a full buyer representation agreement that you have confirmed makes you one of the agent’s Clients, which lets that agent see your name, email and phone number in CoverHome. You can end the relationship at any time, which removes that access. Every step is recorded in an audit log. We keep the agreement document for the life of the relationship; how long we keep it afterwards follows the brokerage record-keeping rules that apply and is set with our counsel. The same steps apply to a seller’s listing agreement and a renter’s rental representation agreement: nothing is shared until a broker has verified the document and you confirm. If an agent does not turn a lead into a client within the window we set (14 days by default), the agent loses access to that lead. Contact details are not exported from Clients.

Private listing inquiries. If you use Request details on a private listing, we keep the name, email and message you gave us while the inquiry is open, because finding a home can take longer than 30 days. The listing agent or the brokerage marks the inquiry closed when it is finished, and we delete your name, email and message 30 days after that. If the inquiry is reopened inside those 30 days, we keep them. Once they are deleted we keep only the non-personal record (the listing, the dates and the agent) for reporting. Contact is shared with the listing agent and brokerage of the private listing you ask about, and only with them: they receive your name, email and message by email when you send the request, they can see them in their CoverHome console, and they can follow up with you by email and in the app and offer a showing time between 9:00 am and 9:00 pm in the home’s local time. If you already work with an agent, they also see who that agent is, next to your details. No other agent or brokerage sees them. This is different from a tour request, where agents and brokerages see only the home, the time, the status and the label “Buyer”, and never your name, email or phone number. They handle the copy they receive under their own practices.

7. Data Security

We use administrative, technical, and physical safeguards designed to protect information, including encryption in transit, role-based access controls tied to verified role/license/brokerage affiliation, and file validation for uploaded listing media. No system is completely secure, and we cannot guarantee absolute security.

8. Your Rights and Choices

To submit a privacy request, email hello@coverhome.app with the subject “Privacy Request” and identify the account email and the request you wish to make. Where applicable law provides rights, you may request:

  • Access to the personal information we hold about you, and a portable copy where applicable.
  • Correction of inaccurate information.
  • Deletion of your information, subject to the retention exceptions below. You can pause your account (keeps everything, billing stops, come back whenever) or delete it in the app or at coverhome.app/delete-account.
  • Opt-out of certain communications (marketing emails include an unsubscribe link; transactional/account emails may still be sent).
  • Opt-out of “sale” or “sharing” of personal information or of targeted advertising, where applicable.
  • Limits on certain uses of sensitive personal information, and withdrawal of consent, where applicable.
  • Rights relating to profiling or automated decisions, where applicable.
  • Appeal of a denied request.

Verification and authorized agents. We may verify your identity, and the authority of an authorized agent acting for you, as permitted by law before acting on a request. Appeals. If we deny a request, you can appeal by replying to our response or emailing hello@coverhome.app with the subject “Privacy Request Appeal”. Response timing. We respond within the time required by applicable law. Non-discrimination. We will not discriminate against you for exercising an applicable privacy right.

What deletion means. A deletion request removes your account from our active systems promptly. Billing and tax, fraud and security, legal, transaction-attribution and suppression records may be retained for defined periods, and backup copies may remain until they rotate out. Where feasible and permitted, retained records are de-identified.

9. Children’s Privacy

The Services are not directed to children under 18, and we do not offer accounts to minors or knowingly collect personal information directly from children. Adults may provide limited household information about minors in their household (for example, household size or ages) as optional context. If we learn we have collected information directly from a child, we will delete it.

10. International Users

CoverHome’s property search and real estate professional services currently focus on the United States. Users outside the United States may access available features, but listings, professional services, and other functionality vary by location.

If you access CoverHome from outside the United States, your personal information may be transferred to and processed in the United States. Privacy laws in the United States may differ from those where you live. Where applicable law requires safeguards for international transfers, CoverHome will use the safeguards required by that law. Your rights under applicable privacy law remain unaffected.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version with a new “Last Updated” date and, where required by law, provide additional notice.
